Background Information

Purpose of Plan

The purpose of this plan is to develop a suitable roadmap of a project that has been announced by Max Lionel Royalty. This project mainly includes publishing information regarding various standards of ethical, legal and other aspects. The information will also include various WHS rules and regulations that must be followed by the employees of the company. The main objective of the project is to inform the employees and the clients about various aspects that are integral parts of business and operations.

Max Lionel Realty is a popular company that deals with sale and rent of various properties directly to the clients or through certain agents that have been working with the company since a very long time. However, recently the company is certain problems regarding communication with the clients and agents due to lack of proper information regarding legal and ethical obligations. In order to solve these issues, Max Lionel Realty (MLR) has decided to initiate a program that will mainly include publishing and communicating relevant information to the clients and the agents associated with the company. This program will include an interaction session between the clients, agents and the company as well as setting up a company website that will contain all the relevant information related to the standards, rules and regulations as mentioned above.

This project will involve execution of the relevant program through a number of different phases. At the end of each phase, a status report must be submitted to the management who will analyze the same to monitor the progress and impact of the program on the agents and clients of the company. During these project phases, it must be ensured that relevant information must be sent out to the target audience i.e. the agents and the clients in clear language without any grammatical or any other errors in order to ensure they have a clear understanding on what is required from them and what standards and regulations that they must follow while they are involved in the operations related to MLR. The project approach basically follows traditional waterfall model in which, the project work is done phase by phase and without the output of one phase, the next phase cannot be started.

The main phases of the project are specified below.

  2. Planning Phase
  • Preparation Phase
  1. Execution Phase
  2. Closing Phase

While these are the main phases of the project, the execution phase will be divided into several sub-phases. It is also specified that at 25%, 50% and 75% of the allotted time frame of the project, status report must be provided to the management. In these status reports, relevant documentations must be done based on the progresses made in the project phases.

The main business goal of this project is to ensure the clients and agents of the company are fully aware of the ethical and legal guidelines while dealing with the purchase and use of properties so that there are no complications later on that can harm the image and / or finances of the company.

Project Approach

The business objectives of the project are as follows.

  • To ensure the business of the company is not affected by legal disputes and ethical issues
  • To ensure the reputation of the company is not harmed due to illegal handling of properties by the agents
  • To ensure the clients of the company are fully aware of the standards and guidelines followed by the company regarding use of properties

The project goals and objectives are as follows.

  • To promote high standards in professional conduct (see Real Estate Institute of Victoria (REIV) Code of Conduct and relevant legislation)
  • To inform agents of legal and ethical obligations (particularly with respect to WHS and antidiscrimination legislation) and any standards or codes of conduct followed by the organisation
  • To achieve employee and client buy-in for initiative
  • To inform clients, tenants and potential tenants of MLR’s commitments

Scope definition is an important aspect of the project that is needed to draw boundaries of the project beyond which, it cannot be extended. In case of extensions and additional work, a separate project must be issued by the management.

The scope of this project involves informing the clients and agents of the company regarding the ethical and legal policies, guidelines and standards that are within the business scope of the company. The scope of the project includes a 10-days long interactive session with the agents in which the company will communicate relevant information to them. The scope also includes development of the company website that will contain all relevant information regarding the standards and guidelines that can be read and understood by the clients before they deal with the company regarding purchase, rent and tenancy on a particular property.

The items that are beyond the scope are follows.

  • Modified contracts for the agents regarding new policies are beyond the scope of this project.
  • Client interaction changes and details are not within the scope of the project.

Any project involves certain amount of risks that may hamper the progress of the project. Hence, for this project as well, suitable risk assessment should be done identify the risks that may occur during the project. For assessing the risks, it is important identify the overall project scope, the stakeholders involved, their personal interests and influences in the project, the client demands and others.

Based on the initial assessment of risks associated with the project, it has been found that the most major risk associated with the project is the lack of interest among the clients and agents regarding the project. Mostly, the agents are only looking for financial profits and they can go to any extent to secure them even if it is by breaking ethical and legal standards and guidelines. In addition, the clients do not show much interest in this type of information as they feel it is complete waste of time and it is also not necessary for them to know about standards and guidelines.

The main milestones of the project are 25%, 50% and 75% completion of the project in each of which, project status report needs to be submitted. More precisely, the three milestones should exist at the ends of the discussion phase, planning phase and execution phase.

The project assumptions are as follows.

  • It has been assumed that the agents and clients will actively participate in the interactive sessions.
  • It has been assumed that the clients will actively read the information to be displayed in the company website as well as the booklets distributed.

The main constraint of the project is the clash of interests between clients and agents that can be caused due to the implementation of ethical and legal guidelines. Another major constraint in the project is that the clients may not be able to join the interactive sessions as they have their own personal duties and jobs to fulfill.

In addition to this, there can be some related projects that will continue after this project is completed. These related projects can be developed in order to develop better reach with the clients and the agents as well as convince them to abide by the rules and standards as they are very important for the business success of the company.
