Introduction
Mary began her journey in sales with Iyvon Sales as a representative. Currently, the processes and operations that are carried out at Iyvon such as the associated with sales processing, order placement and compilation of data are manually done. Because of these manual operations there are several issues that have come up that are mainly associated with the speed of tasks and activities that negatively impacts the quality of service. Some of the errors that arise because of manual processing have severe impacts on the customer as well as the organization. In order to overcome the issues that are related with the current process, it has been proposed that a website shall be set up which will provide the customers to place orders and will also allow Mary to perform sales related operations automatically. A single sales order will be required to be placed as a result.
Requirements Elicitation
There are a number of information investigation techniques that may be followed in this case. However, the two primary techniques that are more commonly used are interviews and observation techniques for gathering of information.
In case of the development and implementation of website for Iyvon Sales, the information investigation technique that proved to be more suitable than the rest was interviews.
The project team carried out the interviews with the project stakeholders such as Mary and other members and users associated with Iyvon in a series of steps.
- The first step included the selection and identification of the members that were supposed to be interviewed. It is important that this choice is adequately made because the choice of incorrect people does not provide the required results. The project team therefore carried out the identification process and selected Mary along with the end users of the system and the customers associated with Iyvon as the people that were to be interviewed.
- Once the identification process was done, the second step included the design of the questions that were to be covered during the interview sessions. These questions were designed around the organization that is Iyvon such as the organization objectives strategies etc. The next set of questions included the requirements specific to the website such as the questions that highlighted the necessary functional and non-functional aspects, user requirements, preferences and expectations of the users and likewise (Hoffman, 2005).
- The candidates that were to be interviewed were informed about the same and the time slot and location was booked accordingly in the next step. It was done as per the convenience of both the parties.
- The reminder messages were sent one day prior to the interview to both the interviewer and the interviewee.
- The conduction of the interviews was done by maintaining a comfortable atmosphere and the questions were asked to the selected member and the response was taken down in the form of key notes.
- Once the interview session ended, there was a detailed response report created for each of the interview that was conducted and the compilation was done at the end.
- The results and responses that were compiled were then analyzed and the required and meaningful information was revealed (Valenzuela, 2013).
This technique was preferred over the rest of the information investigation techniques as it provided an opportunity to contact and discuss the website and its specifications directly with the stakeholders and viable entities. It also provided a chance to share the viewpoints and understand the reasons behind the response that was provided by the member which is not possible in other techniques such as observations or questionnaire.
Use Cases
There will be a number of use cases in the website that will be developed for Iyvon Sales such as Placement of an order by the customer, payment for an order, issuing of receipt, calculate commission on each order, etc.
Conclusion
The decision that has been taken by Mary to use automation in the business activities is as per the demands and needs of the current times and it is required that the website that is developed is as per the needs and expectations. The technique that has been adopted in this case for investigation of information is interviews and it is because of the reason that it will make sure that all of the necessary information is covered up through the same.
