Answer:
Project Justification
The NWS Sports store will handle many customers and requires an effective of way of managing data. As a retail store, it has an inventory that has to be managed to ensure the stock available meets the demand. The store needs a way of recording sales to determine revenues generated, profits gained, and its growth rate. Additionally, the store management seeks a way of managing customer information.
Sales recording system provides features that supports the store’s operations. Through the system, the store can create new member records, search the records, and identify members with a unique key field. This implies that the store can record customer information and maintain it for future reference. This allows the store to build a customer database which can be used to track its growth in terms of members gained. The sales recording system enables the store to make changes to member records hence updated customer information can be maintained.
Besides storing member records, the system handles sales. The store management can process all sales transactions including those made by members and non-members. The system allows the store to calculate the sales generated hence growth in sales and profits can be determined. The store can update payment collection and print receipts indicating sales made. Additionally, the system generates a monthly sales report which can enable the store management to determine its financial performance.
Project Scope
Project objective
To develop a robust sales recording system that meet the needs of NWS sports center within five months at a cost not exceeding $30,000
Scope Description
The scope of the sales recording system project is to design and develop a system through which sales made at the store will be handled (Kerzner, 2013). Various permissions will be granted to the appropriate staff members to update and manage the system. The system will provide data entry field to allow data input. It will provide a module for creating a new member record and give each member a unique key field that can be used to identify the existing members. The system will allow appropriate users to make changes to the member records if they need to be updated.
The system will incorporate a feature for processing all sales transaction and will calculate the sales generated. It will have a virtual dashboard with key metrics to provide a consistent platform to visualize the sales and the store’s financial performance. The system will contain a module for collecting payment and printing receipt for sales made. The system will also have a feature that automates generation of a monthly sales report. The scope of this project include requirements gathering, system design, development, and testing of the sales recording system (Burke, 2013).
High Level Requirements
Sales recording system is approved to meet the needs of NWS sports store. In order for the system to meet the store’s business needs, there are several requirements that have to be met as part of successfully executing the project (Turner, 2014). The high level requirements for sales recording systems project include:
- System with access granted to store employees
- Accessible from computer
- System interface is consistent
- Ability to maintain and use the system without support
Deliverables
Several deliverables will be produced at the end of this project (Pinto, 2007). Sales recording system project will be considered complete if the following deliverables are met.
Deliverable 1 – A tested and operational sales recording system free or errors and meet the requirements defined in the project scope description
Deliverable 2 – An operational member management module as part of the system which allows users to enter and manage member data in a consistent manner
Deliverable 3 – A complete and comprehensive documentation that provide step by step instructions on how to use the sales recording system (Schwalbe, 2015).
Deliverable 4 – A complete troubleshooting guide which provides corrective steps for anticipated problems
