It is a pleasure to announce that you are a highly valuable employee of Calgary Insurance Brokerage. You have made extremely precious contribution for the last four years for the growth of this company. The company is proud to have you in its management.
I, on behalf of the management, would like to inform you that, the office location is going to be changed soon. We have received a notice on 27th February, 2017, from the Municipality of Calgary to vacate the office premises within 30 days for a proposed development of a new condominium for the municipality.
As you know, the history of the downtown of Calgary goes back to 18th century. It is densely populated and there is a shortage of space for further expansion of buildings for office premises or for residential purpose. Even there is a scarcity of parking lots in this area. The corporate tax rate, property taxes and rental costs are also too high for a small space in the downtown. We are a company of 120 people. Hence, we need much bigger space to accommodate everyone, and we also need to keep in mind the scope for further expansion of the workforce in future. Therefore, we needed to find a bigger and better place for all of you in a very short notice. That has been a very difficult task as it was a sudden notice with a very short time given to vacate the place. Considering all facts and figures of the cost structure, we found a new building in Okotoks. We will start shifting our infrastructure from 10th March and plan to relocate completely by 15th March, 2017.

We understand that Okotoks is 28miles far from downtown Calgary. The commute to the new location would be very difficult for some of the employees, while for others, who live closer to Okotoks, it is good news. We also know that more than half of our employees do not own private vehicles and commute by public transport. Those, who have their own cars, also prefer to travel via public transport, due to shortage of parking spaces.
We would like to inform you that the office building in Okotoks is brand new and has state-of-the-art facilities. The space is much bigger too, compared to our downtown location. Since, it is a low cost locality; the rent we have to pay is very less for such a bigger area. The building has huge parking lots, so the problem of parking would be solved. From now onwards, taking your own car to the office would not be difficult for you. The On-it Regional Transit has expanded its network to Okotoks in 2016. The new office location is also very close to the bus stop; hence availing bus service would not be difficult for those who do not have their own cars.
However, the company has decided to provide pick and drop service to all the employees for the first one month, till we get settled properly in the new location. Also, the entry time would be more flexible for this one month. We hope that, it would help you all in adjust your schedules in the initial days.
The management would also like to inform all of you that, there will be no layoffs due to relocation as there is an increase in space; and money saved due to fall in rental costs. Hence, we expect to start our journey afresh in a new site with a new spirit. We hope that you would understand our constraints and help us to move forward in our new journey. We would like to overcome all the challenges together.
