SmartShirt Pty Ltd is a Melbourne based business that sells affordable high-quality corporate shirts online. The business is inspired by London's Jermyn Street shirt makers.

Martin Shaw, a CEO and owner of SmartShirt Pty Ltd, came up with the business idea from conversations with his friends over the high cost of quality corporate shirts in Australia. Martin had no prior experience in fashion but had worked in a senior position in retail so he knew how to source products. As the business was inspired by the premium London’s shirtmakers, he found a supplier of high quality shirt materials in the United Kingdom. He made an arrangement with a manufacturer in China to produce shirts to a set quality standard.

SmartShirt Pty Ltd was established in 2010 with two staff members - Martin and Anne. Martin was responsible for sourcing materials and shirts, Anne was responsible for bringing the shirts to market. They engaged a local IT firm to setup a basic website and maintain it as neither one of them had much IT experience.

Competition is fierce in the fashion industry but SmartShirt Pty Ltd had a competitive edge – no other retailer was offering high quality corporate shirts for such a competitive price. As a comparison, high quality business shirts in the shops were retailing anywhere from $120 - $250 but SmartShirt was selling its shirts for $45 each or three shirts for $100.

The greatest challenge for the company was to maintain the high-quality standard while keeping the costs down. To achieve this, the business sells exclusively online. SmartShirt opens small pop-up stores from time to time, and only for a few days to a week to further promote the product – this is usually organised around the time when new materials arrive from London for the new season. They promote the pop-up stores on their social media accounts and they invite customers to come in to see and try new shirts (samples for each fit and colour are provided in a few different sample sizes). Customers can also place their orders on the SmartShirt iPad in the pop-up store.

Overview of SmartShirt Pty Ltd

Like almost all the businesses, the SmartShirt Pty Ltd is facing challenges from the competitors. The quality and production related issues that SmartShirt Pty Ltd is facing currently can be mitigated using a BPM strategy. The business process management approach will improve the manufacturer efficiency. As the organization is looking forward to maintain low cost, it is essential to hold the knowledge of the staff even after they leave. The BPM approach allows the organizations to do it. Continues improvement is an essential part of SmartShirt Pty Ltd’s business approach.

To some organizations, the BPM or business process management is about implementing new technologies. Achieving automation in the business processes through the evaluation of software development is often referred to business process management. The conventional definition of BPM states itself as an optimizing approach that consist of techniques like Six Sigma, TQM, CI and many more.

The business process management will allow the SmartShirt Pty Ltd to align their operations as per the need of the customers. Martin and Anne will be able to deploy, measure and keep track of the organization assets. The BPM has the ability to improve the business process efficiency of the operations along with the quality of products. The cost of the operations is reduced due to modification of existing process and implementation of new operations. The implemented technologies will be handling most of the processes automatically and accurate. As the collected data will be accurate and precise, the chances of operation delay reduce. The SmartShirt Pty Ltd’s core departments work independently. Martin do not have proper idea about what Anne does to market the products and Anne does not interfere in Martin’s works. This can cause issues when SmartShirt Pty Ltd wants goes through tough situations. The organization needs more clear and transparent process that can allow the executives to see what is happening at all the corners of the organization.

The thing will be rethinking the customer experience. SmartShirt Pty Ltd have to come out of e-commerce site and pop-up shops. The organization must consider the social media and mobile based sales as other product selling strategies. The customer must have the option of placing the order once the product is placed in the cart. The customer should be able to open the website or mobile application later. The organization will manage the design of the product and manufacturing of the product.

The main issues of SmartShirt Pty Ltd is availability of only type of product. The organization has only style for every product, the only variation is the material. Martin has decided to stick to this single style as manufacturing different styles of products would cost more. Promotion of the products were done after the raw materials arrive. This gave a very short span of time to SmartShirt Pty Ltd to promote products. The organization needs a better planning of the products and this will allow them to promote products properly. Samantha have to travel to London for selecting the materials. The materials are sourced from a single supplier. Once, Martin changed the manufacturer for making better profits by reducing the production cost. However, the whole plan was blundered and a complete shipment had to sent back to manufacturer because of incorrect shirt collar stitching. Not having any information of how to produce the products, has been a huge challenge for SmartShirt Pty Ltd. The organization is currently stuck to one single manufacturer in china. The organization do not have any continuous improvement plan.

BPM and Strategy

The main day to day problem is having updated information of current processes. The organization is heavily depended on the reports of the lower employees. Martin will get information of the warehouse and raw materials from the lower level employee report. The sales team does not have proper idea regarding the available number of products in the warehouse. Martin doe not get proper idea of selected material until, the designer comes back from London. The organization does not have a technology that can store all the data in a centralized position.

The business process architecture of SmartShirt Pty Ltd will be consisted of types of processes it has. The existing processes of the organization are operational, purchasing, resourcing and many more. The business process architecture the alignment of the performance asset strategy along with the trackability. The organization will be able to align the performance metrics in a better way. The organization currently having an e-commerce website for selling the shirts. No other modern-day technology is used in the organization process. With the implementation of business process architecture, the IT investment portfolio of SmartShirt Pty Ltd will be improved significantly. The organization will be able to make decision quicker than ever. Projects are part of continuous improvement. From small to big projects, all the project scoping is a crucial part. The business process architecture allows the organizations to scope the projects faster and effectively. Without proper business architecture, SmartShirt Pty Ltd will not be able to identify which areas are needed to be focused. Often big organizations fail to recognize which parts of it needs technological improvements. This failure leads to waste of IT investment. Martin and Anne will be able to understand the processes executing throughout the organization. The business process architecture will make the whole organizational process transparent to the leaders.

The proposed suction will be consisting of an information system. Some changes will be done in the existing e-commerce system to connect it to the new information system. The information system will be connected to the warehouse. Bar coding system will be implemented. From some best cases it has been identified that bard code systems are very useful for warehouse management and it reduces the production and maintenance cost. The system will have an accountancy system. After the supplier sends the raw materials, the information will be provided to Martin as report. If Martin allows then accounts department will generate slips for the purchase and process the capital to supplier. Each and every process will be monitored and leaders will have all the information about the business processes.

As it can be seen that proposed solution is not affecting the current employees. The organization will have a new team under CTO or chief technical officer. These staff will be responsible for maintaining the proposed information system.

Significant Considerations: SmartShirt Pty Ltd will be facing various issues and challenges during the redesign development stage and implementation of proposed solution. Organization must consider these challenges before the process initiates. These considerations are as following.

  1. The first consideration will be staff against the organization change. Not all the employees will consider the organizational change as a good thing. The working environment in SmartShirt Pty Ltd will be hugely affected due to business process change.
  2. The second consideration is failure of the project. If the project of system implementation fails, the organization will be hugely affected. Martin have to increase the cost of the products to obtain the lost capital. The organization will be able to support any other big projects in future.
  3. The third consideration is the support from the stakeholders. Lack of stakeholder support is a big risk of business process change project. SmartShirt Pty Ltd is thinking of changing the organizational process hugely.
  4. The fourth consideration is post implementation. Such a big organizational change is not possible to be done perfectly in one go. There will be some flaws which will be mitigated later, after completion of the change. SmartShirt Pty Ltd must make user the post implementation process with adequate amount of quality.

The upstream implication: The organization will be implementing a supply chain management system to establish good relationship with the suppliers. The system will collect the details of the products. This detail will consist of the material and which supplier has supplied the material. Based on the customer feedback, the system will generate a report to Martin. In this report it will be mentioned that which materials are best and which are not.

Maintaining Transparency between Staff and IS Project Team: The project of implementing such as big system is a very critical task. The organization must inform the staff about the benefits of the project and make them a part of it. This way Martin will be able to handle organizational change.

Considering all the Risks and Create a Risk Mitigation Plan: Business process changes are consisting of high risks and the probability of risk are even bigger for such big organization.

Planning before Execution: The organization must plan a project or change before execution.
