The project manager along involves in continuous monitoring of the planning and implementation of the undertaken project. The project administrator regularly follows the developed Gantt chart for keeping track with the development of the project. Furthermore, for the construction and opening of "Dark Roast Java," the project administrator will integrate the task into the manageable task. He will further evaluate every task while identifying the potential risk involved with it. For ensuring the quality and regular progress of the project, the project administrator will communicate with the different employees on a verbal and written mode of communication. Regular auditing of the budgeting cost allows the project administrator to control the total cost of the project and complete the construction and opening within provided resources. 

The maintenance of the project record is essential for ensuring the successful implementation of the undertaken taken within allocated time and resources. In this particular project for the launch of ‘Dark Roast Java’ coffee house, detailed documentation of the progress report have been maintained in both hardcopy and softcopy. Further, for recording the financial report, reports of different activities identified in the project are maintained and kept for verification and review. The softcopy of the documentation and report are shared with the key stakeholder of the project once a week. 

In this particular project of launching ‘Dark Roast Java' coffee house, the project manager, and project administrator are responsible for the keeping the records and project report.

Project Purpose, Scope, and Objective, key stakeholders

For maintaining the project report, the project manager collects the details of the project progress, expenditure, from the employees on a weekly basis. The soft copies of the report need to be maintained on a weekly basis, while the hard copies need to be sent to the stakeholder once every month. 

The project for launching the ‘Dark Roast Java' coffee house is for developing a new coffee house in Pleasantville. The project further aims at being the top coffee destination in Pleasantville. The objective of the project is to make the interior relaxing and increase its profit to £600,000 in the first financial year.

The project activities and deliverables have been completed according to the project scheduling and planning.  The completion of the Dark Roast Java has been completed on time, and grand opening of the coffee shop was made on 31st January 2004.

The significant highlight of the project is the location, and the architecture design of the coffee house will accommodate the high volume of customer and tourist throughout the year.

The project has been completed within the time. The reports and document of the project have been reviewed and verified by the shareholders. After the verification and review, the project sponsors have agreed to close the project.

The waterfall lifecycle has been followed by the construction and opening of the Dark Roast Java coffee house project. The initial, planning and developed stage can be improved in this particular project with respect to the integrating the activities and monitoring them in detailed.

The recommendation for improving the launching of the ‘Dark Roast Java’ coffee house are-

  • The implementation of Cloud Based tools for the managing the project more efficiently;
  • Using more detailed scheduling list and Gantt chart;
  • Effective communication between the employees for detailed understanding;
  • Engaging experts with ensuring the quality of the project;

Project Staffs: For managing the activities of the staffs, all the contacts of the employees are reviewed and closed. Final payments are made to the employees and staffs working on the project. The projects staffs are made free of the current project to join the new project.

Issues Management: After the completion of the project, the issues remain in maintaining the internal staffs of the ‘Dark Roast Java’ in maintaining the standard of service and food. Furthermore, the training of the new employees and staff of the coffee house is no further the scope f the project.

Risk Management: The major element in the project management plan is to evaluate the risk after the completion of the project. After the project closure, managing the staff and evaluating the intended profit from the coffee house will be transferred to the major shareholder and authorities of Dark Roast Java.

Financial Management: In the case of the saving and exceeding of the financial funds of the project, the amount will be provided to the managerial authority of the ‘Dark Roast Java’. The information on earnings, sales and liabilities will be conducted by the authority and shareholders.

Asset Management: The management and authorities of Dark Roast Java review the resources used in the project. They also ensure that sufficient financial resource and the liquid asset is available for supporting the current positions and operations. Further, the management maintains the further record and turnover of the resources spent on the project.

Planning Tools

Record Management: The documentation of the project along with the progress report, auditing and legal documents are made into both hardcopy and softcopy for future use. The documents and hard copy are stored in a secure way by the project administration. Furthermore, the soft copies of the documents are backed up for future use. 

Post Project Responsibility: After the closure of the project, the project manager is not responsible for the further development of the coffee house. In a contrary, the management authorities of Dark Roast Java are responsible for ensuring managing the operational activities of the shop after the project closure.

The management of Dark Roast Java, sponsors, and shareholder of the project are satisfied with the final delivery of the project till the final opening of the shop. All the deliverables have been addressed within the scope of the project. After the detailed analysis and reviewing, the project has been considered to close.

For the launch of Dark Roast Java, various laws and legislation need to be followed by the completion of the project.

Dark Roast Java deals with the storing, processing, delivering, transporting, preparing of various food items including pastries, beverages, food items, chocolates and much more. The implementation of standard food legislation ensures the quality of the products while increasing customer satisfaction. WHS (Work Health and Safety Information), Ethical principles, anti-discrimination laws need to be followed during the project.
