Therefore it is important to make the written communication more effective and competitive that it could attract the attention of the desired audience.
  • Impressive Direct Communication: To construct a good and long lasting relationship, one need to develop understanding and ability to respond constructively and positively to what the receiver has to say. If someone thinks that he or she already knows what the conversation is all about, then that person is prevent one from hearing what other truly has to say.
  • Listen Deeply: Listening deeply demands focus on the speaker, but more than that it demands a person to be genuine. When a person is listening from the depth rather than ego, the listener is present, calm and able to extract what the conversation is really all about (Jones, Bodie & Hughes, 2016).
  • Ask Questions: All people do not have same thought process or same perspective towards a particular fact and hence it creates a misunderstanding between the listener and speaker. Therefore, it is essential for the listener to keep asking questions till the confusions are not cleared. In the process of doing this, the listener is creating a safe environment for a clear and straight conversation.
  • Share Significant Message: When the communication barriers are eliminated, it gives way to smooth flow of communication with trust and hence key topics and facts can be discussed, feedbacks from both the ends can be received, solutions to the message or conversations can be invited from both the ends. When a person listens actively, they gain the respect of the speaker and are able to contribute to their maximum potential. By eliminating the fear of judgment, the listener motivates others to express their creativity (Weger et al., 2014).

Body language is also a very important component in development of interpersonal communication. Occasionally, it sends stronger message than words. It is controlled by the subconscious mind of a person; there a listener/reader can in fact realize the difference between the thinking and speaking.  Eye contact and facial expression is very essential while expressing a feeling and wearing a simple smile depicts confidence of a speaker. For example: a person is in a meeting a does not makes eye contact with all the participants, the meeting becomes a waste of time (Lewis, 2012). 

  • Right Tone of the Voice: The tone of our voice says a lot about the attitude and behavior of a speaker. A high pitched tone depicts anger or aggression, a balanced tone expresses patience and calmness whereas a low pitch tone may signify grief or sadness. Therefore a speaker should use right tone while addressing people. The tone when the speaker asks question from the audience should be different from an occasion when the speaker answers to the queries of the audience (Lewis, 2012).
  • Proper Proximity: The proximity between the speaker and the listener says a lot about the relationship between them. It defines the comfort zone of the people involved in communication. People decide their proximity on the following zones- public, social , personal and intimate. In a business environment, it is important for a person to be aware of the proximity that is required with the prospects.
  • Appropriate Gestures and Postures: The communicator is required to take control of the gestures and postures. A speaker should use right hands movements to depict the action and maintain a right posture while sitting or standing while addressing the audience (Lewis, 2012).
