A systems approach to planning, scheduling, and controlling.
Robs Classic Car restores and builds classic cars for the customers and requires recording the job costs for each customer depending upon the unique vehicle. These costs include various costs which range from materials, modifications and labour cost. The company had been facing issues to assign the direct costs to the job and assigning the indirect costs as well. The company was worried that they were not being able to quote the costs accurately and thus they required a Model Spreadsheet so that the job costs could be restored accurately and commissioned as well.
Business Drivers (NOT REQUIREDbut you will need to start thinking about this since it will be critical for the spreadsheet design and presentation.)
Record the organisational driver/context for the project.
Record the measurable SMART objectives that have been identified with this project.
Benefits
The benefits of the given project will be that the given team members would acquire a better understanding of the given model of the spreadsheet. With this, the company will be able to easily create a useful model which would go a long way in helping the client to manage their costs associated with respect to each customer and the cost quoting.
Impacts
If the ECMS project gets enabled, it will go a long way in helping Rob`s Cars to effectively manage their cost quotation aspect. Presently, there lies confusion as to how the company must be quoting direct and indirect costs, however, if the company takes effective steps, and then they will easily be able to manage their costs and maintain a record which would allow them to quote prices in an accurate manner. This will have a two way impact on the firm. First of all, the firm will be able to decrease the confusion related to the quoting of the costs. Secondly, the firm would be able to earn higher revenues as they will be able to save money by quoting indirect costs.
1Integration Management
1.1Methodology
The first methodology of the given project will be to assign tasks to different individual team members within a given time frame so that they are able to complete the project. A timeline was formed and it was seen to it that the Project Manager monitors all the tasks personally and checks the percentage of tasks to be completed and the present completion rate. It lays the duty of the other members to ensure that they raise any related issues.
Benefits
1.2Change Control
Record what formal process will be used to propose, assess and authorise changes in scope.
1.3Performance Reporting
The project manager will be continually monitoring the tasks and check the completion by noting the completion rate on the Gantt chart. Each individual team member will be given a responsibility or the duty may be assigned to a team as a whole. The end result produced by the given team members will be measured for quality and accuracy checks before delivering.
1.4Audit
The project will be evaluated by the project sponsor and/ or his delegate (i.e. the tutor). The audit will evaluate the project plan, spreadsheet model and presentation based on the criteria outlined in the marking rubric. All aspects of the project are to be the original work of the group, unless appropriately referenced.
The projects that are inter dependent to the given project and may have an impact on the performance and delivery of the ECMS may be the study and commitments towards other subjects, work related and family commitments, class schedule clashes and the limited time available to conduct the meetings. The sequence of some tasks may also play a major role in determining the success of the projects.
2Scope Management
2.1 Deliverables
The project plan and the project file which includes the Gantt chart need to be submitted on the last week of April at 5:00pm AEST. The innovative and improved spreadsheet with the memo has to be submitted in May.
2.2Inclusions
Record what will be (explicitly) included in the specification for the project?
2.3Exclusions(Not required)
Record what will be (explicitly) excluded in the specification for the project.
2.4Handover
The project manager will be taking up the responsibility for the completion and submission of all the projection the timely due dates. Furthermore, it lays the duty of the each team member as well to ensure that submissions made by them are made in a complete manner and timely format.

Milestones can be described as short term goals of a project that guide in its completion and in its assistance. Milestones are generally embedded throughout the project to help the team members in fulfilling their deadlines and complete the tasks; the primary milestone is the formation of a manageable cross functional team which has all the required skills and expertise to complete the given project. The next milestone is the submission of a project plan which is due at the end of April. The third milestone involves correction and modification of the spreadsheet. The fourth milestone comprises of analysis of the factors that tend to have an influence on it. The last milestone is submission of the complete project due in May.
Impacts
4Cost Management (ALL OF PART 4 IS NOT REQUIRED)
4.1Budget
Record the amount of funding required for the project.
4.2Estimating methodology
Record how have the figures been calculated.
4.3Confidence level
Record how accurate these figures are.
4.4Contingency
Record if any contingency funds will be required.
4.5Source of Funds
Record where the funds will be accessed and the approvals and/or documentation required.
4.6Cash Flow
Record the cash flow projection for the project.
5 Human Resource Management
5.1Stakeholders
Record the details (role, responsibility, information needs…) of all stakeholders for the project.
5.2Resource Capability
Record the information supporting the resource assignments (hours, rates, availability, training…) for the project.
Include reference to equipment, facilities and materials where required.
6 Communications Management
6.1Organisational Structure (NOT REQUIRED)
Record the appropriate organisational structure required by the project. (Assign team roles to team members, may be some overlap with the assigned roles in the distribution list)
6.2Escalation
If any issue arises during any stage of the given project, such that the project is not being completed on time or some team members are facing some problem with respect to the effort or issues with the formula, the given method can be applied. Firstly, the owners can conduct a group discussion as to how the given method can be resolved. Secondly, they can define the issue and decide if the given issue is very severe in nature then the CEO of the Robs cars needs to be informed. Lastly, if any team member is offending the given scenario then his remuneration will be withheld.
7Procurement and Contracts Management (NOT REQUIRED)
Record all information supporting the decision to make or buy. This should include reference to:
- procurement planning
- solicitation planning
- solicitation
- source selection
- contract administration
- Contract close-out.
The possible constraints are as follows:
Obtaining relevant knowledge. There may exist various aspects to the costs associated with the policy of Rob cars which the company may not be aware of and this may cause problems while preparing the relevant spreadsheet.
The possible treatment strategy for this kind of an escalation is the application of observatory skills. The team members may be sent to the firm to check the procedure in order to make better spreadsheets.
The time constraints with respect to the completion of the project are also an issue. The possible treatment strategy would be to start tasks early so that delay is avoided.
Assumptions(Not Required)
Record all assumptions (accepted as correct) that will impact the performance and delivery of the project.(factors that are likely to seriously affect the quality of the spreadsheet model and/or presentation e.g., it might be assumed that support will be available to resolve any problems with learning necessary Excel functions or formulas)
Integration Management
Potential Issues
The team members are not able to complete the tasks on time. If the team members are unable to complete the task on time and within the assigned deadline , then it may act as a potential issue. The strategy may be to arrange for milestones to ensure that the deadlines are achieved on time.
The second issue that can arise is the health and well being of the team members. If the team members fall sick, then the project may not be completed at the right time. The strategy may be to work with minimum stress and divide the work accordingly.
Risk (NOT REQUIRED)
Record all internal and external sources of risk in a risk register, including:
- probability
- consequence
- priority
- strategy
- accountability
The standards adhering to the quality and the definition of quality which are generally demanded but the project may require a high performance level and competency level to ensure that the work produced is original and has taken into consideration all the relevant components of the job required. This shall include the involvement of the predictive model, which shall ensure that the correct formula is used and the project is easy to understand. The memo that will be delivered along with the project, should have the capability to communicate clearly and consider feasible recommendations.
The aspects related to quality insurance and quality control are important in order to see to it that the integration of a team member`s task is smooth and their work can be combined. Ensuring this has to take place in various components of the project and not just the end stage.
The quality control aspect will ensure that the company is able to provide timely feedback and not deviate from the required solution.
Authorisation (NOT REQUIRED)
10Recommendation
Record the recommendation being presented for approval.
11Approval
Record the decision that has been made on the project.
¨ Approved |
¨ Postponed |
¨ Cancelled |
¨ Review |
12Sign off
Record the name, signature and date of all appropriate stakeholders (sponsor/client, project manager, project steering group…) signing this document.
