Identifying Unintended Consequences and Mitigating Approaches

Employees and consumers are referred to as the most important assets for any organization and it is the responsibility of the project head to identify the unintended consequences and its mitigation approaches as well. The unintended consequences are as follows:

• Loss of productivity
• Lack of time management
• Lack of workplace safety
• Incorrect organizational practices

In order to reduce the rate of absenteeism, the workplace practices including behavioral changes and lower productivity are needed to be mitigated for resolving the consequences.

What are program deliverables and what might they be if the intent of the project is to create a new policy on a particular matter? (75–100 words)

If an organization wills to create new policy on a particular matter, then the followings will be the list of program deliverables:

• Understanding of standard organizational policy on the identified matter
• The list of suitable policies are needed to be adopted by the project head
• Complete study of the business case
• Development of statement of work
• Implementation of plan governance
• Designing project budget, project schedule
• Change management protocols implementation on the basis of project review

Why should projects have measurable goals and objectives? (25–75 words)

Comprehensive measurable goals and objectives are needed to be implemented by the project manager to gain competitive advantages in terms of revenue, productivity and quality as well. It also helps to assess the surrounding market of the business with specific strategies. It will keep the employees focused to their job roles.

Project scope is a part of project planning that helps to determine the project goal, deliverables, features, functions, business operation including deadlines and ultimate estimated cost of the project as well. In order to meet the project deliverables following steps including objectives, goals, sub activities, resources, budget and schedules should be maintained 

Describe how you would obtain, from others, agreement for the project. (75–100 words)

In order to ensure that the project stakeholders are agreed to the project deliverables and scope a project closure checklist is needed to be developed by the project head. In addition to this, with the configuration of a flow template the agreement of the stakeholders can be shown. The signature of the project stakeholders will prove that all of them are agree to the project deliverable. However approval is required with each new addition of elements to the project.

Activity 4

Why should a change, once identified, be implemented as soon as possible? (75–100 words)

In order to make a project effective from the owner’s perspectives, open communication is needed to be implemented by the project manager to consider the innovative ideas of all the project team members. The changes should be implemented soon after its identification.

 If the project head took extra time to implement the changes, then additional cost would be added to it with the increasing time phase.

Describe the change management process.

In order to implement the identified changes the processes those should be used are as follows:

Preparation for the changes

• Defining the change management strategy
• Development of change management team
• Implementation of sponsorship model

Managing changes

• Developing change management plan
• Adoption of action plan

Reinforcing changes

• Collecting and analyzing the changes
• Gap diagnosis and managing the resistance
• Corrective actions should be implemented

Who should be involved in monitoring project management compliance? 

Compliance monitoring in business processes are important to maintain the organizational functionalities, applications and tool support as well. There are ten different compliances monitoring functionalities in business process are defined and it must be monitored by the project managers.

What should you do if you become aware of non-compliance? 

After identification of non-compliances the below are the works to be done:

• Product price should be set significant above or below the market price
• Regulatory organizations, government departments should investigate
• Unusual tax focus on unauthorized financial transaction and incorrect recorded transactions
• Based on the originated services payment approaches are needed to be done by the project manager
• Proper approaches should be adopted to avoid failure of information system

• What is scope change control and once change has been accepted, what should occur? (25–75 words)

Project scope change control is referred to as a system that helps to develop documentation of the project with scope plan to define the procedures and project scope as well. 

As soon as the scope changes are accepted by the project manager the below are the steps those will occur:

• Development of project status report
• Requests to the changes

• Why isn’t completing a project the same thing as ending the project management process?

There are huge differences between project management processes and completion of a project.  It is not necessary that ending of the project leads to project completion. Project management phases include project initiation, project planning, project execution and project closure. A project will be defined as a completed one if starts to gain effective revenue from the outcome on the other hand, project management process end does not mean that the project has been completed and from its outcome revenue can be generated.

After implementation of a project, all the project outcomes are needed to be analyzed accordingly. It is necessary for the project manager to keep the project updated if it is found that changes are needed then that should be implemented to meet the project objective.

The three different project environments those are needed to be maintained through change control procedures are:

• Internal project environment
• External project environment
• Project control environment

The change control procedure is able to serve the following:

• Proposing the changes
• Development of project summary
• Decision making
• Change implementation

Project monitoring and control helps to track the project progress accurately and in order to serve these phases the project manager is responsible. The monitoring and control entails the following factors for analysis:

With the help of proper control and monitoring the progress of the project could be tracked and the necessary changes those are helpful to meet the project requirements can also reached easily with the project control and monitoring.

Work Breakdown Structure (WBS) is a work process that helps the project manager to divide the work load among the human resources associated to the project.

The work Breakdown structure helps to define the activities and the sub activities of the project process. If the activities are divided accurately then the work I expected to be completed within estimated time and budget as well.
