The term, communication can be elucidated as a process of exchanging information through a medium such as writing, speaking etc. The process of communication is vital, as an individual can share ideas, feelings, information or thoughts with another individual. In order to carry out an effective communication process, it is important for the individuals to possess skills of communication. In order to gain success in professional and personal life, it is important for each and every individual to develop their communication skills. This assignment embraces following areas-

Diagnosis and Reflection

The diagnostic tools which were used for evaluation of my communication style are- Johari Window, the Assertiveness Questionnaires, Interview skills checklist, Interpersonal commutation and Communication Style Questionnaire. These tools played a critical role in assessing my strengths as well as weaknesses in context to my own skills of communication.

Communication Style Questionnaire is one of the effective tools which used to support in highlighting an individual`s style of communication. My style of communication is dominant, as I got a score of nine out of eighteen in the amiable scorecard. Individuals who are amiable view themselves as supportive, respectful, dependable, and agreeable; in addition to this, they lay emphasis on the present ( Shultz, 2016). Amiable individuals (including myself) prefer environment, which is friendly, relaxed, informal and personal. Because of such attributes, I use to get frustrated and lose my confidence to communicate effectively in formal settings like- official presentations and interviews. While communicating, amiable individuals prefer to be quiet at certain times, listen carefully to the speakers and do their written work at the proper time. This dominant style resembles with the outlook, as for how I see myself.

Another diagnosed style is- interview skills checklist. This style can be used for self-assessment through which individuals can assess their communication skills for the period of interviews (Zepeda, 2013). Through this diagnostic tool, I have evaluated that one of my weak aspects is- anxiety and stress all through the interviews. I use to get prepared for the interviews, but at the time of the interview I get anxiety and fails in maintaining eye contact with the interviewee. I know the answers asked in the interview but at the time of giving an answer, I fumble; which shows my lack of confidence.

Johari Window can be defined as a technique which assists individuals in understanding their relationship with others and themselves as well. This technique was used by me to analyze my communication skills. The analysis of myself through Johari Window is done by using the model which is given below-

Ø  Well known about the use of verbal and non-verbal communication in certain situations.

Ø  Unaware of some communication skills

Ø  For instance- incompetent to decipher non-verbal signs.

Ø  I have to improve communication skills in order to communicate across cultural groups

The analysis of Johari Window depicts that, as per the open area I have an understanding of communication styles and I know it very well, that which communication style shall be used in a particular situation (Russell & Cohn, 2012). The blind area states that some of my communication skills require improvement, such as- I have to learn to decode the nonverbal signs. The hidden area reveals that my understanding of discerning the emotions is better. On the other hand, the unknown area of the model states that in order to talk or connect to the cultural groups, I need to improve my communication skills.

One of the other technique used by me to assess my skills of communication was- Assertiveness questionnaires. A score of twelve out of fifteen was being scored by me in the passive attitude scale. This states that I use to give up in a situation or in a task when I feel so much pressure; however I am not aggressive. This assertiveness outlook confines my effective communication. For instance, I show my incapability in regards to defend myself specifically in groups or while meeting seniors.

The interpersonal communication competence directs to assess how people communicate with each other. This self-assessment resulted that I scored 71 out of 90 points. According to this self-assessment technique when an individual scores higher points then he or she has greater communication competence. Through this technique, I evaluated those competent communication skills. Even though I scored 71 points, I accept it as true that my interpersonal skills of communications are still not mature and they require improvement. For that reason, it is essential for me to go through an interpersonal communication training in order to improve these skills (Davies, 2014).

The above diagnostic tools supported me in highlighting the communication issues, use to be faced by me. For instance, I have difficulty in expressing a point of view specifically in professional interactions. This is because propensity of being getting nervous and panic. I also lose my confidence in the course of interviews and presentations.  These issues or weaknesses were also assessed in the latest professional collaborations which are being experienced by me in the former 11 months. I went for a job interview at Intercontinental hotel located in Sydney, Australia. During the interview, I avoided to make eye contact with the interviewee and gave wrong answers of the question because of nervousness (Hakim, 2016). One more professional experience which proved that I lack confidence while communicating is related to the business meeting which held at Kingston Hotel in Australia. In the meeting, foreign delegates were also present. During the presentation, I lose my confidence in front of many people and gave the presentation in a poor manner. This whole incident depicts that my nervousness, lack of confidence and stress are the main issues which hinder my communication skills.

The diagnostic tools helped me in identifying the issues related to my communication skills. After diagnosing I believe that in order to get success in my professional and personal life, I have to make a strategy for developing my communication skills. It is essential for me to go through some training sessions in order to enhance my skills of communication so that I could make better conversations and do not hesitate while giving interviews.

Literature Review

In this execution of the communication by using the problem-solving tools  it can examine that my weak point is of communication skills is that facing a problem in expressing thoughts it happens because of getting the nervous and panic and also lack of confidence while giving the presentations as a professional.  Due to some issues, it can be recognized due to poor communication skills, having the poor skills of facing the interview and because of the friendly communication style that restricts the competence of my communication skills.

Facing the problem in expressing the thoughts is recognized to inactive attitude and it has become a nervous and fear experienced while having the communication with the professionals. In this study, it describes the passive attitudes means that individual has to pay attention to improving the communication skills and do not take the ideas provided by others ( Moss & Brookhart, 2012). In this passive communication style it has restricted the progress of the communication skills and due to this individual is not pay attention towards on how they communicating. In addition to this a passive communication defined as in this it is cable of understanding the individual feelings and also worry about it and by this only it is better option to face the issue. The negative point of the passive attitudes is not having the ability to speak better thoughts a result of this failure to discuss and try to improve the communication skills. In this part of communication, development individual have to search for to promote the confident approach towards the communication skills.

In this case study, the important factor to communication is to the individual have to do the preparation by collecting the material before facing any professional communication. Assertive communication is defined as in which individual have to describe their ideas and set the position (Angelo, 2014). By the help of assertive communication skills issues will be identified and after identifying the issues it will help in improving the effective communication ideas, opinions, feelings, and beliefs. In addition to this preparation is done but before it, communication is good so that the message should be good and better and before it  reached to the audience. In this passing on message should be effective for one to listen and it can manipulate the others people positively.

In this, while promoting the interpersonal skills is dangerous so it is not effective one factor while getting the message from different parties (Franklin , 2009). In this interpersonal communication has become dangerous by this only needs of other parties can be identified while promoting and the flexibility of the communication. In this communication style is known as the friendly style is restricted the effective communication on the friendly person are satisfying and not paying the more attention to other individual one communication skills and make more superior from others. The expressive style of communication is more effective to point out the problem when the problem is identified and with the help of expressive style, it helps in solving out the problem of having the nervousness while expressing the thoughts. Expressive communication style is serious for destroy the nervousness and point out the issue related to communication skills. Expressive individuals defined as it can be set in any atmosphere and also having the skill for their victory in every path and also believe in what they can do (Cicinelli , 2013). In this expressive style also help in changing the behavior and also support the expression of thoughts of individual and also change the approach of the communicator at the point of different parties.

 In this not having them so much confidence during communication arises due to lack of preparation and not accepting the better communication skills. The most important factor is due to lack of confidence reduces the strength of the communication with other and the result of it communicator does not communicate in front of the audience. In this communicators have the confidence while passing the message to the audience and try to give the message to the audience on which they can believe us. In this issue may be raised due to having the communication problem which is known as level of anxiety (Rao, 2010). Communication apprehension is used to define the poor communication and the effect on interviews and presentations (London, 2011). Communication anxiety is responsible for this.

In addition to this oral presenting is also an important factor in this while presenting them in front of an audience and giving the message in front of an audience, not in proper communication skills it happens because of the lack of confidence. Due to this it leads to anxiety and the lack of the confidence and tries to improve the communication when during the permutation in front of the audience. In addition to this first of all communicators needs to examine the audience and also examine the needs of the audience related to the requirements needed by the audience from the communicators. In addition to this, it is important to try to understand the communicator role; as it includes information, motivation or instruction and improves the better communication skills. In this study without preparations going for an interview it can be lack of confidence and due to this, there is lack of efficiency of communication is done. In this, before interviews, it can become so serious while research during the organization and also try to understand the company factors which help in try to improve the communication in interviews.

While making the plan to deal with the anxiety during interviews and presentations, so that it may help in enhancing the confidence and to make certain about what has to be delivered during the presentation. In addition to this firstly examine the and understanding the presentations and also try to understand the full features of presentations and by this only confidence will develop and communication skills will also be improved (McClement, 2015). It has also been noticed that while giving the interviews, first off all assessment of the questions will be done correctly and then reply to the questions will be given within correct and proper communication.

Action Plan

The development of communication skills will be done through pursuing some activities. All the activities will not be carried out at the same time, as it may be confusing for me and I would not be able to give my best while pursuing all the activities at the same time. For that reason, I will go through one by one activity to enhance or improve my communication skills. Therefore an action plan is being made, which includes the number of activities which will be undertaken by me and the time period of the activities.

§  Queensland University of Technology`s course, which will help in making conversation in front of large number of people and  informing meaningful messages

One to Three Months

A communication assessment test will be taken in order to evaluate the knowledge gained by me during the course or training session. A KWL chart will be prepared to

The diagnostic tools- Communication Style Questionnaire, Assertiveness Questionnaires, Johari Window, Interview skills checklist and Interpersonal commutation will be used to assess the skills of communication and to relate the results to the skills possessed after the training session. This will help in determining the enhancement level of communication skills which have been realized all through this time period (Angelo, 2014).

Reading plan

Articles and book reading will be done to better understand the concepts of communication and skills of communication. Such as-

Messages: The Communication Skills Book written by Martha Davis and Matthew McKay in the year 2009.

Improve your communication skills written by Alan Barker in the year 2016.

Two to Five months

A reading plan will be prepared which will include every single aspect related to the skill development. The reading plan will include word collection and determine the meaning of the same. This will help an individual in processing the work in an easy form

Personal Journal

I will keep a personal journal for at least five months. All the lessons learned besides the experienced gained while going through the training and courses will be written down in the journal. These notes will be further used to measure the effectiveness of the lessons learned.

Three to Five month

A personal journal is a method of preparing journal articles. It is required that an individual should develop a journal which could help the same in developing the writing skills and evaluating the mistakes made by the individual while writing a journal or an article.

Mentor

The mentor which will be approached through CQU will support in learning professional communication skills. Through the mentoring support, I will be able to align my professional communication skills with requirements of the corporate world. The mentor will help in gaining practical knowledge and application of the skills in an effective manner.

Five to six-month

Mentoring is another aspect which will help in providing an effective set of support in developing a proper set of skill. Mentor provides a relevant set of support in making the improvements in communication aspects.
