Project management is the important concept and consideration for the significant development aspect involved within any project development stages (Wang 2017). Project management includes various significant aspects that includes change management, strategic management etc. In contrast with these facts, this report is considering a healthcare organization that has implemented change management within their system infrastructure that highlights impactful situations for finding responses for their clients and customers. The report is elaborating about the interview responses collected from the project managers, project sponsors and client representatives.

The Canadian Government is planning for promising the patient’s demands for managing significant aspects and claims of the patients that includes various technical advancements and functional aspects related to the development of EMRs and EHRs that helps the organization as well as clients in recognizing significant aspects related to various medical care and sustainable facility providences to their patients in attracting as well as providing comfort to their patients (Wang 2017). Therefore, CHEO (Children's Hospital of Eastern Ontario) had a plan to develop their work management process related to data and information about their clients and patients automated with respect to customer demands and needs. In the year of 2014, the organization has implemented EMRs and EHRs policies for managing significant development of fundamental needs and demands of patients (Wang 2017). Therefore, all of these aspects include functional as well as impactful decision makings in solving issues and functional impacts on the patients and clients of CHEO. The clinic of CHEO arranges a functional aspect that manages significant development within the organizational system architecture. With the help of this implementation the organization can easily changed their 75% of manual data records to automated one that highlights the operational excellences of the organizations.

Justification to project objectives 

The selected project objectives for this project was mainly to automate the system architecture of data processing and management issues involved within CHEO (Children’s Hospital of Eastern Ontario). Therefore, this is identified that the each of the objectives involved within this project are attained with respect to their fundamental needs and demands of their customers and clients involved within their business process (Wang 2017). Children’s Hospital of Eastern Ontario (CHEO) has involved one automated system-architecture within their organizational structure that increased 75% of the client concerns that can be met with respect to various functional aspects that has highlighted the impactful scenarios that made the system architecture more compatible with the patient’s demands and needs. Therefore, this can be stated that the CHEO has developed efficient automated system architecture for managing the development of organizations with respect to their fundamental objectives and aims involved within their research process (Wang 2017).

Project Objectives

In contrast with these facts and elaborations this is also identified that the project had realistic plans for development concerns and significant facts about EMR and HER policies and functional aspects. These needs to be managed and developed with respect to fundamental aspects related to launching of massive project for EMR implementation within developed areas of operations. Additionally, all of the project stakeholders are involved within the system architecture development of project as well as they have supported the development of EMR policies for being implemented among end users of the project (Wang 2017). There are various healthcare practices and considerations for managing significant development of facts and functional aspects related to development of medical processing for the betterment of healthcare organization. Additionally, this was also identified that the EMRs are also important for patients in recognizing the significant aspects and functionalities for maintaining healthcare processes and functionalities. Therefore, all of these aspects are managed within CHEO, so that there is significant development of functional aspects related to automated healthcare practices (Wang 2017).  

Stakeholders are one of the most efficient members involved within the project development stages and functional usages of project development functionalities. Therefore, this is very important to check whether the stakeholders are effective enough for managing the sustainability of the project development phases involved within the automated system architecture of CHEO (Wang 2017). There are mainly three stakeholders that are included within this investigation process for checking the sustainability of advanced system architecture with respect to the demands and needs of clients and patients of CHEO. Therefore, these aspects needs to be elaborated and discussed with respect to functional aspects and demanding situations of the hospital for managing user and client requests (Wang 2017). The patients get benefits and advantages for new software implementation within the organization and this not only helps in providing significant development of functionalities involved within the CHEO hospital but also provides opportunities to the stakeholders and clients in using these system architecture for their personal usages in order to gain sustainable advantages involved within the system architecture of automated processes of EMR and EHR.   

According to the interview sessions to these three key personnel involved within the system architecture of the organization revealed that the organization is utilizing the functional aspects and fundamental aspects of the system architecture of automated data entry and processing system that not only provides benefits to the organizations but also provides benefits to the functional blocks of the organization as well as their clients and patients in order to get rid of various manual data entry and management issues involved within the old operational infrastructure (Wang 2017). Additionally, this is also identified that the stakeholders are also concerned about development of the project and provide care to their valuable patients that highlights the seniority to their occupations. The project manager is concerned about the significant development facts and functionalities that need the support of educating the patients as well as educating the functional heads involved within this entire project development phases. Therefore, all of these aspects are very important for managing significant development of automated system architecture within CHEO’s organizational structure (Wang 2017). The structures are very important for managing the significant development of healthcare infrastructure within the organization for managing the developmental perspective of healthcare organization with respect to their aims and objectives.

Stakeholder Engagement

Engagement of stakeholders within the project are managed with respect to various fundamental aspects involved within project development phases of CHEO that incurred automated system architecture within their organizational structure that provides financial as well as technical benefits to their products and projects. This is identified through the interview sessions that the project managers and other two responsible heads for this project are very careful about the open communications and project development functionalities that highlight the impacts and fundamental benefits for managing significant development of organizations and management functionalities involved within the project (Wang 2017).  The project manager is very important for managing various functional aspects involved within the project that is incurred through proper communications and developed organizational performance. All of the stakeholders are very conscious about the performance levels and functional aspects related to the management of fundamental aspects involved within the automated system architecture of CHEO organizational structure.

Scope management is one of the major and impactful areas of project management aspects and contexts. Therefore, scope needs to be managed effectively with respect to various functional aspects involved within the project development phases. CHEO has introduced one new system architecture within their organizational structure that manages their performance growth as well as their operational excellences with respect to their customer demands and needs. The new system architecture they have implemented is the automated EHR and EMR operating systems for managing data sets introduced within the healthcare organization (Wang 2017). There are huge amount of patients that come to CHEO for treatment purposes and also they need advanced and proper treatment for managing significant development of their healthcare conditions. Therefore, the project managers need to identify the possible scopes for these treatment perspectives, which is adopted through the implementation of EMR and EHR processes within their organizational infrastructure that helped their clients and patients in solving their data storing and proper usages of data related queries and  issues involved within the new operational system architecture of CHEO.   

Throughput the project life cycle of CHEO, the manager of the organization integrated and coordinated all the project elements of project management functions properly. The objective of this plan is to improve and offer immediate access to the clinical data of the patients.  

Initiation: It is the first stage of the project life cycle, there is requirement of project objective and need to identify the project goal. The project manager of CHEO documented the business case with recommended solution options (Wang 2017). The manager also conducted a feasibility study in order to investigate whether the project outcomes meet with project objectives. After the recommended solution is approved, then the project is initiated to deliver approved solution. The senior management approved the plan to move into detailed planning phase.

Scope Management

Planning: The project team member involved in the plan consists of detailed and practical plan in order to bring out the control. CHOE planned to create an integrated electronic health record where all the hospital areas use paperless technology for the records of patients. The team is planning to educate as well as support the healthcare professionals in use of electronic medical records. The project team identifies all the project work. There is identification of project tasks as well as requirements of resources (Wang 2017). The manager creates a project plan with outlining of the project activities and timeframes. The manager also coordinates the estimation of the project budget by providing cost estimation for the required labors, equipments as well as cost for products and materials.  The project budget is required to monitor as well a control the cost expenditures required during the project implementation phase. The risks are identified in this stage with an action to mitigate it on time.

Execution: In this phase, the project plan is to be put into motion and the project work is performed properly. The manager puts control over the project and communicates with the team members as required. Project progress is monitored as well as it is adjusted as made. Most of the time is spent into this implementation phase (Wang 2017). During this phase, the members carry out the project tasks and progress information is reported throughout the team meetings in the form of report. The project status report emphasizes the cost, quality of the deliverables as well as schedule. Each of the project deliverables are reviewed for quality assurance against the acceptance criteria.

Closeout: The final deliverables are released to the customers. The final communication is done with all the project stakeholders. The project resources are released and termination of the supplier contracts is done in the closure phase. A closure report is prepared to note down the final deliverable of the project (Wang 2017). The project manager conducts lesson-learned studies for the future reference.  It will help the project team members to get the project related ideas.

Review: The project manager reviews the final project report before providing approval to implement the system into healthcare sector (Wang 2017). The project team member continued to train the healthcare practitioners after the electronic medical record system went live, so that the end users are confident with use of new software.

Schedule issue: There is a delay in some of the project activities, which affects the finish date of the project plan. It causes delay into completion date of the plan. The main concern of the project manager is to include the scope management. The software solution is worked to keep the project on the schedule as well as under the planned project schedule (Wang 2017). Sometimes, the healthcare works are best when various projects are being addressed with the task structures. Quality assurance is required in the plan to deliver quality work to the client. The project team members are not following the schedule of the plan and they are hampering the organizational rules. A proper schedule will be prepared by the project manger to get project success.

Project Life Cycle

Budget issue: The implementation of healthcare information system such as EHR in the healthcare operations of CHOE is expensive. Its usage cost is also expensive. There are barriers while finding the expenses to spend into training, maintenance as well as physical infrastructure. Therefore, there are chances of over budgeted the planned budget (Wang 2017). Therefore, before commencing to the implementation process, CHOE should lay out the funding before the hand.  

Procurement issue: The suppliers those are delivering the goods as well as equipments are not meeting with higher quality standards of the products. The procurement manager faces the challenge to maintain cost savings. There is a requirement to increase access to the accurate data. In the market research and benchmarking, the data are lacked (Wang 2017). Therefore, one of the biggest procurement challenges is to find a rough internal data. Stakeholder is also a procurement problem when they are not interested to participate into the project work. Influencing of both internal as well as external stakeholders is an issue. Training is required to be provided to the team members. The procurement issues are correlated to the risk management strategy. Lower will be the cost, it is better to reflect on bottom line. When the delivered order is being damaged, then it is an option to decline the delivery of the items. The procurement issues are attributed due to human error.

Conclusion

This can be concluded that the project management is one of the most important and significant aspect involved within any project management aspect. This report is considering the development of development of automated process or management of healthcare records involved within specific project development stages. The project management is considered for this case study in achieving risks and impact management policies for the organizational development. In contrast with these facts, this report is considering the consequences related to development of automated system architecture within CHEO (Children's Hospital of Eastern Ontario), which has implemented automated system architecture for recording data sets and information about their patients and their healthcare records with respect to their own needs and functional demands according to observations for patients. Therefore, this report is elaborating the consequences that are relating the significance of responses collected from the end of project manager and other two responsible heads involved within this organization. Some significant questions and functional aspects are elaborated and described within this report from the perspective of successful completion of the project.
