Preparing a Briefing Document

The leader is responsible for managing the people at the workplace. The leader makes the people work in an organised way so that the objectives of the organisation will be achieved. Thus managing people at the work place requires an extensive study and the leader requires working with his or her team appropriately to achieve the goals of the organisation. In this assignment the roles and responsibilities of the team members and the leaders at the workplace have been studied(Hoption, 2014).

The success of the organisation lies in the collective efforts of the members of the team. The assignment deals with the effectiveness of team in the achievement of the strategies by leading & managing the members of the group members.  The focus is on the improvement of team effectiveness at the retail outlet of BizOps Enterprises. For the successful outlet management, there is always a need for focusing on the satisfaction of the customers. The performance of the retails outlets depends on the collaborative efforts of the team members to work successfully in accordance with the goals, plans and objectives of the organisation. For the achievement of the retail outlets, the managers will process the documenting approaches, methods and strategies which will help in leading the people and managing them at the retail outlets. The document will discuss the vision and mission of the organisation and the objectives of the business plan. The outlet manager will convey about the development of an operational plan & the implementation of the plan to increase the sales in the respective outlet. The plan will be distributed among the team members with their respective roles citing their accountability for the management of the outlet of the organisation.

The KPI is used by the organisation in order to define and measure the progress for the achievements of the goals & objectives of the organisation.  The KPI is set after the analysis of the mission & goals o the organisation (Application Performance Management, 2017).  This is used as the measurement tool for identifying the progress of achievement of the objectives. The objective of the organisation is to consolidate its position as the lead retailer for green & sustainable solutions for the products that are high in quality so that it will lead in the market. This has been the plan of the organisation for 2015-2020.

  1. For stabilising the financial aspects
  2. To work for the rise of revenue by 15% by the end of the financial year..
  3. 15% of revenue increase in the annual profits for the products & services.
  4. Reinvesting 75% of profit back in the business
  1. To gain again the number one position as the best customers service provider in the industry.
  2.  Launching of the high exclusive consumer products in order to meet the demand of the customers and to remain ahead of the competitors in the industry.
  1. Training for the employees to keep them updated
  2.  The annual development plan for all the employees through the support of human resources.
  3. Outline what strategies you will use to support members in meeting expected performance outcomes.   These strategies should address any formal and informal learning requirements.

The responsibility of the manager is to encourage the team member to work effectively by taking responsibility. The member will be given a chance to make accurate decisions and they will also offer ideas that will contribute the increase the practices of the teamwork.  This will be successful only when the workplace will have appropriate systems and processes (Sandel, 2009).  The members of the team will be allowed to work independently & exercise the initiatives. The leader will see that all the systems are properly developed and they are implemented in order to promote continuous improvement.

The improvement of the processes & the systems can be formal. The formal learning takes place after the regular review and surveys are made.  The quality performance audit will define the improvements. This is also done in an informal situation where the team members are encouraged to contribute their ideas for the benefits of the organisation (Greyvenstein & Cilliers, 2012). The manager uses the both methods to encourage people to work for the benefits of the organisation. The manager prepares a standard operating system and uses the management skills to bring development in the employees to make continuous improvement.

Preparing a Performance Plan

There are different methods used by the manager for ensuring the involvement of the team members in the effectiveness of the team.  There are systems & processes for the encouragement of the individuals and team.  This will be helpful for their participation, responsibility & also for the initiative. They are encouraged to select the appropriate systems that are suitable for the different situations of the workplace.

This process will help the team members to identify the requirements of the organisation. The team members contribute to the objectives of the organisation as they have knowledge of the documents.

This helps the team members to remain communicated with each other. This helps the team members to participate in the system by giving their suggestions.

The members involve in the discussion and contribute to the meeting by giving their opinion in the meeting. They remain involved in the process of the decision making.

The suggestion box is an informal method by which the members contribute to the organisation and participate in the operations of the organisation.

The organisation intends its employees to act like the leaders and discharge the duties and responsibilities of the leader.  The decisions are taken effectively when the team members contribute to it (McCallum, FOLLOWERSHIP: THE OTHER SIDE OF LEADERSHIP, 2013).  This encourages the customers to remain happy in the retail outlet. The organisation saves time, energy & money.

The leader can build cross-functional teams that will help to contribute to the organisation by taking the expertise of the people. The people will be encouraged when they will perform the role of a leader (Ward, 2007). This helps the communication in the organisation. This also makes a solution to all issues.

The decision-making activity is very vital in an organisation. The team members feel empowered when they are involved in the process of the decision making. They tell the leaders of the operations to follow the strategy that will helpful for them to achieve their objectives (Baker, 2007).

The leader will encourage the employees by communicating the systems and procedures. This will help to take correct decisions. The information disseminated by the leaders encourages the workers to work confidently. Thus the leader requires using web method, meeting and report to communicate the team members all the systems and the procedures.

The team members will be encouraged to participate in the activities when they are well versed with the goals and objectives of the organisation. They will learn about the policy document. This will empower them and they will contribute to the growth of the company.

Prepare a draft policy and set of procedures that would achieve this. It may be relevant to utilise information that has already been documented in completing tasks 1-5 above.

The objectives of this policy is to ensure that the supports the organisation to develop & facilitate cohesion of team. This is to allow the team members to take responsibilities for their own job and to assist others in order to perform the roles & responsibilities as per the requirements.

Strategies for Planning and Decision-making

The emphasis is on empowering the employees to be the part of the goals of the organisation and to be committed to the work, colleagues and the natural environments.

This policy applies to all the employees of the organisation irrespective of the senior and other employees of the organisation. The employees will execute their responsibilities to work collectively as a team.

BizOps will empower its employees by developing the team cohesion and allowing the team members to take the responsibility of completing their own work and help other coworkers in their workplace.

The organisation will focus on the following:

  1. The endeavor will be on the effective management of human resources.
  2. To empower the employees to work together
  3. To comply the system with the policy of the government` of the country of Australia.

The written documents prepared by BizOps will be prepared in accordance with the guidelines that are discusses below.

  1. The purpose, tone & the style of communication of the document is suitable for the audience for whom this has been decided.
  2. The documents should be well written and there must be readability.
  3. The copies of the documents will be filed as per the policies % procedures of the information management.

Outline what leadership techniques and strategies you would use to provide feedback and encourages, values and reward members of your team.

The leader has a crucial role to play to manage the people at the workplace. The leader has to offer the feedback and encourages the team members to work in order to achieve the goals. The feedback is intended to make the members realize the importance of working together. Thus the leader will have to work democratically as the management of human resource requires some technical dealings.

The leader has to be very positive and should be very inspirational to motivate people to work as per the expectation of the organisation.  The positive attitude encourages the team members to work in the right direction. This will help the team mebers to get the correct feedback as and where they lack. The leaders make the members understand how the work is done and how working together the goals can be achieved.

The goal of the organisation should be clear. The leader will communicate the team members of the organisation about the clear goals of the organisation. The transparent and appropriator goals of the organisation help the team members to work without any confusion. The productivity will never be slow if the goals will be clear. The vision of the leader will be reflected in the goals that are imparted. The clear vision will act like the clear feedback to the team members which will help them to know their responsibility and how to work clearly to achieve the goals of the organisation.  The team members will get motivated to work in the process as per the design of the goals when they remain clear to the goals.  The team members work to achieve the objectives.

Thus the leaders will motivate people to work in a team for the achievement of the goals. The leader with his or her positive traits can offer feedback to the team members and will encourage the team members to work sincerely. The value or rewards to the members are given with due course to the team members by the leader of the organisation.

The leader requires respecting the team members in order to make them work as a team. The team members find lots of difficulties and issues during the process of the operation of the objectives. They report to their leaders regarding the difficulties they face. The leaders require responding to the issues immediately once this has been received by the leader. The communication methods have been very popular. The email system or letter sent by the team members will be given top priority. The leader will try to understand the nature of the difficulty and offer a time to resolve the issues. The scope of the development of the activity is justified.  The process of the mitigating the problems is also shared by the leader for the members of the team. (Gentile, 2012)

Encouraging Team Members to Take Responsibility for Team Activities

The retail outlet manager has to play key role as he has been assigned the task of managing the entire outlet. The senior management will not be involved in the process of doing  all the activities at outlets (Walton, 2008). Thus the manager will have to devise a rule that will help him to manage the people well and get the best value.  Thus are some responsibilities to be followed by the outlet manager.

  1. The manager will develop the team and will inculcate team mentality and instead of ordering them to do the manager will tell that we will do .
  1. The manager will be open enough to share ideas with others.
  2. The manager will be very approachable.
  3. The manager will behave in the way that she expects others to behave.

Communication is one of the important activities of the leader. The leader should focus on communicating information transparently. The manager should have the ability to know how to lead the people and which leadership trait is required to be used. The leader should make plan and guide the people to work effectively.  The leader will focus on the group process and he or she will focus on the outcomes (George-Godfrey, 2012). The communication will be made for the group. Each of the team members will be communicated their roles to perform.  The leader communicates with the members as per the agenda and the process. The leader will learn the skills to manage the event and to draw the conclusion of the issues.

The responsibility of the manager is to manage the situations and the issues related to the management of the outlets. As the leader there will be some issues related to the operation of the outlets.  There is always a need of reviewing the performance of the team and this will be taken in an appropriate feedback method (Bradberry, 2015). The senior management of the organisation will focus on the activities conducted by the outlet leader. The outlet leader will communicate the information to the senior level management people.  The feedback given by the leader will help the management to deal with the employees for their performance. The review of the performance will be made as per the information communicated by me as the leader of the operation of the outlets of the company.

Conclusion

Managing the people at the workplace is an important job for the manager. As a leader the manager has to act sincerely like a transformational leader. The leader will lead the people by doing and showing the examples. The leader has to be very democratic and give the team members opportunity to involve in the process of the decision making. The feedback and rewards are also two important ways to lead the people in the workplace.
