The assignment is intended to bring out the benefits and limitations of different approaches to project planning and control by relating these to the

circumstances in the case outlined. It is also intended to allow students to demonstrate their learning and competence in respect of the management of resources generally, but in particular elements of scope, schedule, quality, and cost.

Task 1 each short answer question requires a response in a few sentences for the questions awarded up to and a paragraph for questions awarded up to marks.

1) Projects are usually categorised into one of three types, identify those types and include examples

2) What key steps should be included in the ‘Scope Statement’ of a project,

3) Using the information below, plot out a full project Gantt chart and identify the critical path? How many days does it take to complete the project? What are the benefits of using a Gantt chart?

4) How would you decide if a project had been successful?

5) How would you assess and manage risks on a project.

6) What Quality methods (project evaluation, monitoring and control) would you introduce to ensure a project is completed to the correct Quality standard.

The answers to both tasks are independent and should be addressedseparately.

Task 1 answers to six questions – completed as an individual task

Task 2 a report that is produced for task two – completed as an individual task

For your convenience both tasks should be submitted as one document, which contains both individual tasks.

The criteria for assessing the task two report will Report presentation (20%)

The extent to which the assignment represents an effective report, this will be judged on:

Is a word count included at the end of the report? Is it within the specified amount? Is the text double spaced?

Structure: Does the report follow the conventions of the format? Does it have a clear introduction, explaining how it answers the questions? Do the sections of the report develop ideas in a logical sequence? Are diagrams or other subsidiary information shown in appendices?

Spelling and grammar: Are all words spelled correctly and is the meaning of sentences clear?

Have appropriate references been included in the report. Has a recognised referencing system been used for notation? (see relevant section in the Guide to Basic Study Skills) Use of relevant theory (40%)

Has the right theoretical content been chosen as the basis for answering the questions? Is there evidence of the use of course notes and books? Is the theory that is selected significant to the questions?

This measures the extent to which students develop a structured argument for the points they make, by combining relevant theory with the information provided in the

Task 1

There are different types of project which can be classified according to the factor in which they are implemented. One of the types are the change driven, were the change in the market plan should be initiated within the implementation of the project. Change can be stated as one of the important factors in the process of project management. Another factor is the market driven which directly focus on the aspect of the marketing of the business and how the project would adopt to the different working areas (Altwies and Preston 2016). And the final type is the crises driven which mainly focus on the aspect of the crises which is faced in a particular scenario in the working of the project.

The steps which can be involved in the sector of scope statement are stated below:

Step 1: Identify the project need – In this step the need of the project is taken into consideration. This mainly include the sector of working, would be included into the framework of operation.

Step 2: Confirmation of the objective and goals – This directly defines the accurately what the project would be going to deliver (Heifetz and Linsky 2017). The main question which can be asked in the sector is how can these goal and objective be achieved.

Step 3: Project scope description – This directly describes what are the functionality which would be achieved from the concept and what would be the products which would be given at the end product.

Step 4: Acceptance and expectation: It can be stated that successful projects are those project which reach the satisfaction level of the customer (Jackson 2015). This mainly takes into consideration the end user expectation and what is expected at the end of the customer.

Step 5: Identify Constraints: There are always some form of limitation which is related to the process (Kerzner and Kerzner 2017). These constraints should be very much identified and mitigation plan should be implemented within the process so that they do not minimize or constrain the ability to achieve the outcome of the project.

The critical path in the task according to the question are marked using Red lines in the Gantt chart.

As per the question the total duration of the project would be 22 days.

There are different types of benefit which can be achieved from the Gantt chart are stated below:

  • Motivation
  • Flexibility
  • Manageability
  • Time management
  • Coordination
  • Breaking down of task into simple tasks.

According to me there are different sectors which actually decide whether a project is successful or not. One of the important sectors which should be taken into consideration is the satisfaction level of the customer (Marchewka 2014). I have seen that if the customer is satisfied with the end product which is delivered, the project can be stated as successful project (Mossalam and Arafa 2016). There are other factors even which can be considered for example the budget of the project and the time which would be included into the final execution of the project.

As I have seen in majority of the projects the sector which can be taken into consideration in the sector the access of the risk is that to identify the risk factor which can be included in the process of the project and them determining the probability of the risk factor (Heagney 2016). The step which should be followed after this would be the impact of the risk factor

Question 1

In the sector of the managing of the risk the following points can be taken into consideration:

  • Creation of risk register
  • Identification of the risk
  • Identification of the risk response
  • Estimate the risk factor
  • Assign owners
  • Regular risk review.

Some of the methods according to me which can be related to the quality of the project are stated below:

  • Project evaluation: The sector of the project evaluation can be very much beneficial in the sector of the marketing the need of the customer and how the overall project would be planned. I have seen that the project evaluation stage is one of the basic stages which is related to the working of the project. If I was a project manager, I would majorly put focus on the aspect of the project evaluation as an important stage due to the factor that all the working of the project would be depending on this factor.
  • Monitoring: Thee aspect of monitoring would be on the sector of detection of any risk factor which is involved into the project and on the other hand is the execution of the project being done in a manner which would be leading to the factor of success of the project. I have seen that in complex project management scenario the monitoring can be directly be related to the aspect of the successful delivery of the project and the overall factor to reach to the goal of the project.
  • Control: The main consideration can be related to the concept of the control would be the time and the budget is related to the working of the project (Zheng et al. 2016). This majorly are two points which decide the success factor of the project. Control aspect according to me can also be related to the aspect of risk control which can alter the overall working of the project. Hence according to me controlling of the risk factor can eventually decide the success factor of the project.

In recent times it can be stated that the implementation of the different sectors relating to the project management are included into the working of the project. The main advantage which can be related to the implementation is that a complex can be dealt quite easily and in most of the cases the outcome would be very much as expected and proportional (Mossalam and Arafa 2016) In the overall working is related to the concept it can be stated that the role of the project manager is very much crucial. The project manager has the overall control of the different sector of the working of the project with an aim of delivering the project within the time and consideration the appropriate quality in the product.

The main emphasis point of the report is to take into consideration the role of the project manager and how they actually play a role in the sector of the working of the project. There are different criteria of the working within the aspect of the project and how they actually lead to the success factor of the project. The different role of the project manager is taken into consideration in the report.

The role of the project manager can be considered to be very much important in the sector of the working with the project and leading the project to the desired level of success. In the concept of the project life cycle it can be stated that during the overall different phases of the project initiation to project delivery, the role of the project manager is very much important. In the sector of the project life cycle some of the role of the project manager are stated below:

  • Stakeholder: One of the first step which can be related to the working of the project is knowing the need of the customers. On the other hand, another role is related in this context is the different types of information relating to the stakeholders such as who are the stakeholders and what responsibility and roles they would be playing in the working of the project. If the project manager is not included in this scenario it can be stated that the project team would be very much isolated. The team would not have any idea to whom they should report and to whom they would go if they have any type of query.
  • Understanding of the project: In the sector of the understanding of the project, the project manager has a very vital role to play (Osseiran et al. 2014). It can be stated here that in some cases due to the complexity of the project the understanding level of the project should be very much high. If the sector of the understanding of the project is not taken into consideration properly it can be directly lead to project failure. In this sector the role of the project manager with the stakeholders directly take into consideration the actual requirement of the project and the different standard the project should indulge into.
  • Planning: the project manager directly takes into consideration the overall working of the project and plan for the initiation of the project. The main components which are related to the planning majorly include the sector of deliverables of the project and takes into consideration when the project would be ready for reviewing. The main aim of the plan would be reach the stage when the project would be ready for the aspect of reviewing and scheduling the task according to the plan.
  • Time, cost and quality: The main sector of emphasis which can be put forward in the sector would be the role between the stakeholder and the internal team to meet the deadline with quality involved into the process. He is also empowered to take control of the aspect of the scope of the project so that there are no problem relating to the error which may occur in the internal working of the project. If the project manager is not involved into the working in this phase it can be stated that the internal team would not be able to keep track of the time and the budget which would be involved into the working of the project.

The project manager in the sector of processes in the planning of the project have a very important role to play. In the stages of the implementation of the project it can be stated that there are different types of functionality which should be implemented within the working of the project which aim at delivering a standard and on time project. In the sector of the starting up of the project it can be stated that gathering of the requirement can be considered as one of the most vital sector which can be related to the processes of the project (Verzuh 2015). The project manager takes control of the overall process which is related to the concept so that an estimation of the different process which can be involved into the working of the project. The main impact of the implementation of the right process in the working of the project can be considered to be crucial due to the factor that it can directly lead a project to the factor of success. The team members who are involved into the working of the project should be always committed in the working and in this process the commitment level of the project manager should also be implemented. In the working of the project as stated there can be different types of problem which can be encountered in the overall working process. In this sector it can be stated that the project manager should fine solution to the problem and it should be taken into consideration that the detection of the problem is done in an early phase so that it does not impact the working of the project.

Leadership

Question 2

One of the most important sector which can be related to the sector of the leadership quality of the project manager is the managing of the team which is working in the project. The project manager should have the quality in which he can not only lead the team but also take into consideration the building up of the team. It can be stated here that a good team mainly consist of strong productivity and successful management of the processes and they as a team work towards a common goal. In order to exhibit the role of good leader there can be different types of role which the project manager should take into consideration in the sector of the understanding of the relationship, personalities and skills of each of the member who are working in the project. In the aspect of the leadership it can be stated that the role of communication can be also a factor which play a dominating role in the working of the project (Heifetz and Linsky 2017). As a project manager, superior skill of communication is very much critical into the internal working of the project. In this context it can be stated that maintaining detailed communication is very much crucial in the sector of the project completion and seamless progress of the project. The project manager must lead the team in the sector of the working in the phase of managing and sharing of the project timeline, objectives and expectations to a group of larger members while also maintain the sector of the input and the different feedback of the team.

In the sector of leadership, it can be stated that the term of trust and respect of the project team are very much important for the project manager. When a project manager takes a decision which would be implemented within the working of the project, the team should be able to adopt the decision and work according to the step (Rusanen, Halinen and Jaakkola 2014). They should have confidence in the working of the project manager and the decision of the project manager. The project manager should create an environment in which the team should have a since of responsibility and they should be encouraged in the overall working of the project.

The administrator section which is related to the project can be considered to be very much important due to the factor that it controls the overall working of the project. The sector of monitoring of the project which can be the project plan and the timeline should be monitored till the completion of the project (Forgues and Boton 2015). It can be stated here that in most of the complex project it can be stated that there can be different variety of task for example in the projects relating to life science, construction and information technology. Each of the task which is related to the project should be given detailed attention due to the factor that if any issue is faced within the working it can lead to failure of the project.

Question 3

In the administrative sector it can be stated that the documentation can be considered to be one of the important factor. The main components which can be included into the concept of the documentation mainly include forms, process instruction, report, records and communication of the customer. It can be stated here that whenever there is a new equipment in the process it can be stated that there can be different types of documentation involved into the concept which mainly include the sector of billing, equipment warranty and agreement of licensing. The main role in role in the sector would be to keep all the documents verified and kept in appropriate places so that when they are needed they can be accessed and shared with people who would be needing the direct access to the product (Kerzner 2018). The role of meeting administration can be also stated to be a part of the role of the project manager due to the factor that communication can be stated to be an important part in the aspect. The project manager is entitled to the role relating to recording all the necessary details of the meeting and distributing the details to the attendees.

There can be different types of problem which is related to the managing of the life cycle of the project. Some of the sectors which is related to the concept are stated below with the sector of the role of the project manager in each of the sector.

Sector

Explanation

Provision of regular status report in the communication plan.

The value related to the regular status can be stated to be overstated. The main role of the project manager in this context is to keep the receivers of the focal point in the sector of the communication. The main consideration which is taken in the true status report is mainly the issues, risks, accomplishment, scope of the changes and many more.

Manage and track project risk and issues.

In this sector the complete tracking of the log which is related to the risks and issues. One of the important factor which can be stated here is that the risk factor which would be appearing in the process is not only identified but the factors which have already been resolved are also taken into consideration. The mitigation of the risk factor can be one of the sectors which is involved into the concept and it should be taken into consideration that there are no risks factors involved into the internal working of the organization (Ahern, Leavy and Byrne 2014). Issue occurrence can be very much common but the mitigation of the risk can be very much crucial in the sector.

Project change management

This mainly takes into consideration the plan which is related to the change management is developed directly in the plan phase, which directly establishes the process which would be used in the sector of controlling and managing the changes. This stage can be considered to be very much important and is mainly conducted by the project manager. The change which would be made in the working of the project should be altered in the stage of initial planning (Fleming and Koppelman 2016). The changes which should be implemented within the project should be submitted in a hand written format and checked to see whether the changes should be made or not. A control log relating to the changes are used which can be beneficial in the sector of maintaining the list of changes which would be requested with the addition of disposition.

Management of performance quality

Monitoring which is related to the performance and deliverables goals which would be directly relating to the project reaching to the desired level of success (Kerzner and Kerzner 2017). The aspect also takes into consideration that the performance of the project is directly linked with the aspect if the delivering the standard of the project. In the sector of the training it can be stated that the sector which is related to the implementation of the strategy and the assurance of the user acceptance ones the overall training is conducted.

Conclusion

It can be stated at the end that the role of the project manager in the overall working of the project is very much essential. In most of the cases it can be stated that there are different working areas within a project which are controlled by the project manager. In complex project, the role of the project manager is very much curial in the proper working of the project. In the sector of risk, the mitigation plan should be implemented are also taken into consideration by the project manager. On the other it should be also seen that the risk factors are not faced again in the near future so the mitigation plan can be stated to be very much important.
