The Homes School is private school in Midwest United States providing service of preschool for 20 years. The school offers education to preschool students and also offers education up to primary level. But, recently the management team of Homes School has decided to provide as service of after school care to the students who wants to stay in the school after the school timing. It has also decided that the after care service will not only provided to the students of Homes school, but others school students in that local area can also get benefit from the service provided by Homes. So, the management team of Homes School has decided to implement an information technology system in the present working system of the education. Homes wants to implement IT solution in its system. All the administrative as well as the financial works should be handled by computer systems that are to be implemented in the system. With the increasing workload of maintaining the students in after-care have lead their staffs and employees to increase their workload as well. So, to reduce those extra workloads, the management has decided to implement IT solution in the system. The Homes School is a small organization and is not capable of employing a new set of administrative personnel as well as new staffs in the system. The demand for after care in Homes is increasing day by day making the teachers impossible to maintain all the work properly.

The information system that is proposed by the Homes School add ups the computer hardware as well as computer software with employees of the system, processes of the system, as well as data that is involved with the Homes School. Summing up all the system of information technology leads to makes the system automated as well as more efficient. With the implementation of information system, the workload of the teachers will become less and they can only concentrate on teaching the students. The details for the information are given below.

The diagram stated above shows the use case diagram of the Homes School, which is a private school in United States. There are many actors who are involved with the system. The main actors who are involved with the use case are Executive Director, Principle, Vice-Principle, Administrative Assistant, Full-Time Teachers, as well as Part-Time Teachers.

Functional Requirements

The uses cases that are involved with actors of Homes School are listed below.

Executive Director- The Executive Director administers all the activities that are involved with the school. Give support to the educational staff and manages the Financial, Payroll, as well as Human Resource Function in the system. The director also prepares the report for all the functions in the system of the school.

The principle handles all the academic as well as curriculum issues in the system of the school and looks at the fact that all the standards of federal as well as state education are fulfilled.  The admission decision of the students are also managed by principle of the school. The transportation schedule of bus is also coordinated by the Principle. This one of the complex use cases among all the use case in the use case of Homes School. The principle even takes substitute classes if the teachers are not present.

There are also many activities that the Vic-Principle manages. The Vice-Principle is responsible for after-care program. The Vice-Principle looks at the Drop in facility to the student after-care. There is school calendar that is maintained by Vice-Principle and also prepares handouts for the school. The Vice-Principle usually communicates with the parents regarding their child and manages the diet of the students. The Vice-Principle also needs to arrange summer programs and summer camps.

There is an administrative assistant in the system of Homes school who is responsible to look after the fees and bill payment of the school. All the monetary transactions are done by the administrative assistant. From submission of fees to bills for tuition or after-care students are all maintained by the administrative official. The records of the students are also managed by administrative assistant.

There are two types of teacher associated with the Homes University. One is full-time teachers and the other is part-time after care teachers. The full time teachers are assisted by teacher aids who helps them to deal the students. The full time teachers helps to keep the attendance of the students from kindergarten to 6th grade standard. All the records are kept in a student file.

The part-time after care teachers are assisted by part-time assistants who are assigned with the program. The total number of students who are pre-registered determines the total number of assistants. The time sheets for the part-time assistants are basically managed by after-care teachers. The total number of hours that the pre-registered students spent in after-care program are also calculated by the after-care teachers. This task is an extremely complex as this needs many calculation and shift time is to be noted daily.

The two complex use cases among all the use cases in the diagram is bus transportation system and maintaining the time sheets  by the part-time after care teachers.

The bus transportation is a complex activity for the principle to maintain as all the students may not maintain the same time for after care facility. The explanation of the use case is given below in the template.

Actor:

The actor associated with the bus transportation Use case is the Principle of the school.

Description:

The bus transportation is to be conducted by the Principle of the school. She needs to arrange the facility of bus to all the students in the local area. The principle must contact the local company who can provide bus for the school. She also takes the responsibility to drop some students by district buses of local public school and she also co-ordinates with transportation department of the district.

Pre-conditions:

Before the transportation, the Principle has to look at the factor that the bus arrives the school gate in time. The bus company is to be contracted for hiring bus for transportation for the student in local area. The Principle should look at the fact that there is available district busses for some of the aftercare students. Before implementing the bus service for the school, the Principle has to take permission of the transportation department of the district.

Post-conditions:

The Principle should ensure that the bus driver and the conductor is trustable for taking the students home safely. The students must reach home safely and that is ti be looked by the Principle of the school. The students should contact the Principle by and alert that he has reached home safely.

Priority:

This use case has the highest priority as dropping the students safely to their home is the most priority of the school.

Frequency of Use:

Used every when the school is opened.

Special Requirements:

On special requirement, the students of aftercare are also given district buses of local public school for reaching home.

Notes and Issues:

There may be issues in traffic for reaching home. There may be issue that the bus comes late for taking the students from school. Another issue may rise if the students does not come on time to board the bus.  

The next use case that is complex in the system making the time sheets for the pre-registered students in after care school of Holmes. The explanation of the use case is shown below.

Actor:

The actor who is involved in maintaining the time sheets for the pre-registered students is the part time teachers of after care.

Description:

This use case deals with the time sheets that are made by the part time teachers associated with the system of the school. If the pre-registered students stays in the after care for more time, that particular time is to be noted by that teacher for calculating the extra price and then submit the calculated sheet to the Vice –Principle in every two week gap. This is done mainly to make the bill that is to be given to the parents for making the extra payment.

Pre-conditions:

The pre-condition that is involved with this system is noting the extra time that the students spends in the after care center. This is to be noted by the teacher associated with the after care. Every day, the teacher has to know the shift time for the students and at the time of leaving the time is to be noted by the part-time teacher.

Post-conditions:

The post conditions that are to be followed after this activity is calculating of time exactly the student is staying and keep a record of all such time in a sheet for two weeks. After two weeks, the teachers are to submit them to the Vice-Principle for making the bill for the parents of such students.

Priority:

This time making sheets that are used in this use case gets the second priority as because without the extra time calculation, the school cannot charge the parents for extra cost and thus will make a loss.

Frequency of Use:

Used when a particular student stays in the after care center after his shift timing. It may not be used every day for all students.

Special Requirements:

Time sheets are to be calculated on excel sheets and the part-time teachers must know how to work with the excel sheets and how to calculate the time accordingly with the previous time schedule.

Notes and Issues:

The calculation must be exact as wrong calculation may lead to reputation of the school. The time should also be noted properly.
